Regulations film submission Student Award 2023
Every documentary film submitted for the Student Award 2023 must meet the following requirements:
1) General entry conditions
Only students from the partner universities of DOK.fest München are eligible to submit a documentary.
- The Student Award can nominate films of any length. There is no minimum running time.
- The date of completion is after 1 January 2022.
- Until it is screened at the festival, the submitted film may not have been broadcast by ARD (including third channels), arte, 3sat and ZDF, nor may it have been exploited in cinemas in Germany. Furthermore, films which are available on freely accessible internet platforms are excluded from the festival. In individual cases, the decision on admission is the responsibility of the festival management.
- The film must be submitted using the online form by 31 December 2022 (extended) (the date of the postmark / the completed online registration applies).
2) No fees
Submissions for the Student Award are exempt from payment of the entry fee for the participating universities. We kindly ask you to ignore any requests for payment that may be generated automatically due to incorrect entries during registration.
3) Language versions
English or German subtitles are desired for the viewing process. For films with the original language English, French, Spanish, Dutch and Czech, it is sufficient to provide subtitles only if the film is accepted. German or English subtitles are obligatory when the film is invited to the festival.
4) Programming / Selection
All programme decisions are made by our selection committee. In the last instance, the programme management is responsible for selecting films and assigning series. Premieres are also given priority outside the competition series.
In the case of an online version of our festival, the regular programme structure as well as a supporting programme (opening, jury viewings, Q&As, award ceremonies, etc.) will be retained as far as possible.
5) Granting of rights, guarantee of rights and exemption
By submitting the film, you guarantee that you are the sole owner of all rights (screening rights of the film and trailer, reproduction rights and the right to distribute the press material) and that you may also grant these rights to DOK.fest München if your film is selected. You further guarantee that the film you submit does not violate the personal rights, copyrights or other rights of third parties. The same applies to the assignment of rights for the additional digital presentation of the film.
With the notification of the selection of the film, these rights are firmly granted to DOK.fest München without the need for further explanation. You indemnify DOK.fest München from any claims by third parties in connection with the rights specified in section 5, paragraph 1.
6) Advertising / Promotion
If your film is selected, we will need press and photo material as soon as possible. By accepting the regulations, you assure that you will make the material (online download link, DVD, photos, texts, trailers) available to the festival for press work and for advertising purposes in the catalogue, programme booklet and on the website within the framework of the DOK.fest München. You also agree that DOK.fest München may use film clips of up to three minutes for festival coverage on the website. DOK.fest München also reserves the right to pass on photos, clips and trailers to selected partners for promotional purposes.
7) Presentation formats
The following screening formats are permitted:
- DCI compliant Digital Cinema Package DCP
- ProRes File 4.2.2 HQ (sound format 5.1) or an H.264 file
8) Steps for film submission
When you register a film with us for the first time, please set up an account. If you already have an account, you can log in at any time and register a new film. If you have forgotten your password, you can request a new one via our system.
Registration: Please fill in the online form completely (including online screening link and password if necessary). Please enter correct and as complete as possible information about the submitted film, because when selecting the film for our programme we work with the information you entered. The information will then be transferred to the (online) programme magazine.
To submit a film free of charge for the Student Award, the "Student Award" section must already be selected when registering. You will find this in the registration form in the top drop-down menu. Once your registration has been received, you will receive a confirmation email to the email address you entered during online registration. The payment request can be ignored.
Please do not send us any digital photos, trailers or dialogue lists for the time being. If your film is selected, we will request this material from you. We ask for your understanding that DVDs or print material can unfortunately not be returned.
Submissions that are incomplete or do not meet the above criteria will be considered as rejected and will not be viewed.
Deadline for submission is 31 December 2022 (extended).
The date of the postmark / the completed online registration applies.
9) Compensation
We make every effort to invite directors of festival films to screenings in Munich. In addition, all films in the competition series and, moreover, all programme films have the opportunity to win a prize in various cross-series competitions (SOS Children's Villages Worldwide, German Documentary Film Music Award, FFF Talent Award). There is no entitlement to reimbursement of costs or any other form of remuneration.
10) Validity of these conditions of participation
By completing the registration on the online form you acknowledge the validity of these conditions of participation. These conditions of participation apply to all current film submissions, even if they have not been expressly agreed again. DOK.fest München does not recognise any deviating conditions even if it is aware of them, unless DOK.fest München has expressly agreed to their validity in writing.
11) Place of jurisdiction, validity of German law
Munich is agreed as the place of jurisdiction, insofar as permissible. The law of the Federal Republic of Germany shall apply, excluding the conflict of laws rules.
